Where charters work

Six common patterns. Endless variations.

Most group charters fall into one of these six shapes. Each combines and adapts — most weddings include a corporate-style pre-event meeting; most sports trips include a sightseeing stop. We've done all of them.

Business

Corporate Offsites

Team retreats, all-hands meetings, leadership summits. Move 50–150 people from one location to a venue, lodge, or destination — without rental car chaos.

  • Multi-vehicle coordination

Celebration

Weddings & Events

Wedding guest loops, anniversary parties, milestone birthdays, bar/bat mitzvahs. Guests park once and drink freely — the shuttle handles the rest.

  • Hotel-to-venue rotations
  • Late-night safe return runs
  • Decor & signage allowed

Sports Teams

Youth leagues, club teams, college squads, adult rec leagues. Equipment-friendly cargo, locker-room-friendly schedules, and drivers who know stadium parking.

Education

School Field Trips

Elementary through college trips to museums, science centers, performances, and outdoor education sites. WSP-certified drivers and school-approved insurance.

Pricing models

Three ways to price your charter.

Charters are priced by how long you need the vehicle and driver. For most events under 6 hours, hourly is the best value. For full-day events, the day rate locks in a discount. For multi-day trips, we build a custom package.

Shorter events

Hourly Rate

Best for charters under 6 hours. Pay only for time used (plus 30-min buffer).

From $155 /hour
  • 3-hour minimum booking
  • 30-min buffer built into every booking
  • All vehicles from Sprinter to Coach
  • Driver included (no gratuity required)
  • Best for: Weddings, evening events, short tours
Multi-day

Custom Package

Best for multi-day tours, overnight charters, or recurring schedules.

From $2,750 /day (multi-day)
  • Multi-day tours quoted custom
  • Driver lodging included in rate
  • Recurring schedules (sports seasons, conferences)
  • Volume discounts for 5+ days
  • Best for: Multi-day tours, sports seasons, conferences

All rates include licensed and insured driver, fuel, vehicle maintenance, $5M liability coverage, and 30 minutes of complimentary overtime buffer. Out-of-region trips (over 200 miles) add a per-mile rate. Final quote always provided in writing before booking.

Planning timeline

From inquiry to smooth execution.

A good charter feels effortless to the rider because the planning isn't. Here's the rhythm — usually 4–8 weeks for standard charters, longer for multi-vehicle weddings or weekend conferences.

01
Inquiry

Tell us your shape

Send the basics — group size, date, destination, duration. We respond within one business day with a written quote, vehicle recommendation, and any timing concerns to address early.

02
Plan

Coordinator assigned

A dedicated coordinator becomes your point of contact. They handle itinerary, multi-vehicle logistics (if needed), tour guide coordination, and any special requests like decor or signage.

03
Lock

Final details locked

2 weeks before: manifest signed off, pickup addresses confirmed, vehicle assignments finalized. Your coordinator's cell number is shared and they're reachable 24/7 through the event.

04
Execute

Charter day

For multi-vehicle charters, a non-driver coordinator is on-site managing dispatch, fielding the unexpected, and keeping the host group free to enjoy the event. Single invoice within 5 days after.

For larger groups

Two specialties for complex charters.

Most charters fit in one vehicle with a standard itinerary. For everything else — multi-vehicle groups and custom tour planning — these two service layers handle the complexity.

Multi-vehicle coordination

When one vehicle isn't enough — groups of 55+, multi-pickup-address weddings, conference floor coordination — we run 2–5 vehicles on a single charter with one coordinator across all of them.

Unified dispatch

One coordinator tracks all vehicles in real time and reroutes when any vehicle hits delays.

Single manifest

One passenger manifest across all vehicles — we route by group, not by guesswork.

Mixed vehicles

Combine a Coach for guests with a Sprinter for the bridal party. Different vehicles, one event.

Backup vehicle

For 3+ vehicle charters, a standby vehicle is on call within 30 min — never had to use it, but it's there.

Synchronized timing

All vehicles arrive within the same 5-minute window — critical for ceremony or session start times.

One invoice

Five vehicles, one driver each — but one consolidated invoice with line-item breakdown for accounting.

Custom tour planning

Your itinerary, designed for you.

For corporate offsites, milestone celebrations, and special-interest tours — we'll design the full itinerary around your group's preferences. Free service, included with any day-rate or multi-day charter.

  • Curated stops

Tasting rooms, scenic overlooks, photo spots, lunch venues — picked for your group's interests.

  • Timing-aware routing

Account for ferry schedules, lunch reservations, tasting appointments, and event start times.

  • Optional licensed guide

For sightseeing tours, add a guide who narrates the route — $250–$400/day depending on language and specialty.

  • Reservations handled

We book your tasting rooms, lunch venues, and any timed attractions — and call ahead the morning of the tour.

Charter questions

Answers for groups & planners.

Six common questions about booking, scope, and policy. For broader questions, see the full FAQ page.

How far in advance should I book a group charter?

For peak season (May–October) and weekend dates, we recommend 6–8 weeks ahead. For groups over 30 passengers or multi-vehicle charters, 3+ months is ideal. Weekday and shorter notice bookings are often accommodated — call to check availability.

What is the minimum booking?

Charter bookings have a 3-hour minimum. Day-rate pricing (8+ hours) typically offers better value for full-day events. Multi-day tours and overnight charters are quoted custom and usually include driver lodging.

Do you provide a tour guide for sightseeing trips?

Yes — for an additional fee ($250–$400/day depending on language and specialty), we partner with licensed local guides for narrated tours of Seattle, Snoqualmie Falls, the wineries, and other regional destinations. For corporate or private groups, we can also work with a guide of your choosing.

Can you coordinate multiple vehicles for one event?

Yes. Multi-vehicle coordination is one of our specialties — we regularly run charters with 2–5 vehicles simultaneously. A dedicated event coordinator manages the timing, manifests, and contingencies across vehicles. For 3+ vehicle charters, a standby vehicle is on call within 30 minutes.

Are food and drinks allowed on board?

Light snacks and non-alcoholic drinks are welcome on all vehicles. Alcohol is permitted on Sprinters and Mini Buses for adult groups (21+) with a signed waiver. Coach buses have stricter no-alcohol policies depending on the route and group composition.

What if our event runs long?

Every booking includes 30 minutes of complimentary buffer. Beyond that, additional time is billed at the hourly rate with no surge premium. For most events we recommend booking 30–60 minutes of buffer up front so you're not watching the clock.
