What we coordinate

Most events combine 2–3 of these services into one master coordination plan. Your event lead handles the integration — you don't book each piece separately.

Arrivals

Coordinated arrival programs

Hotel-to-venue, office-to-venue, parking-to-venue. Synchronized so all guests land in the same 15-minute window — critical for keynote start times and ceremony openings.

VIP service

VIP & speaker transport

Black-car sedans for keynotes, board members, donors, and other VIPs. Separate timing and arrival from general guests — usually 30 minutes early for green room, or 5 minutes early for ceremony.

Loops

Continuous shuttle loops

For multi-day conferences and large events. Vehicles loop between defined points (hotel, venue, parking) on a published schedule — guests catch the next shuttle without booking individually.

Late returns

Late-night safe returns

The signature event service for galas, holiday parties, and fundraisers. Continuous return runs from event end through 1–2 AM — guests leave whenever they're ready, no sober-driver scramble.

Guest manifest management

We maintain the master guest manifest across all vehicles. Routing decisions made by group, not by guesswork — VIPs go to vehicle 1, executives to vehicle 2, etc. CSV-friendly format for your event team.

Backup

Standby vehicle & contingency

For 3+ vehicle events, a standby vehicle is on call within 30 minutes in case of mechanical issues, traffic incidents, or capacity surprises. We've used it twice in five years — but we always have it.

The dedicated lead

A coordinator who knows your event by name.

Every event over 50 guests or with multi-vehicle coordination is assigned a dedicated event coordinator from your first call through the last guest home. They're not a dispatcher — they're a planner.

Single point of contact

One name, one cell, one email. No re-explaining your event to a different rep each call. The coordinator owns the event from intake to invoice.

Manifest & routing owner

Maintains the master guest manifest, makes routing decisions, and updates the plan as your event evolves. Cross-checks the night before the event.

On-site or in dispatch

For 3+ vehicle events, the coordinator is on-site at the venue managing dispatch live. Your event team doesn't need to think about vehicles.

Contingency planner

Pre-builds the "what if" scenarios — keynote delayed, weather, traffic, sudden guest additions. Decisions are pre-made before the day arrives.

Post-event recap

A short written recap within 48 hours: actual ridership vs. projected, any incidents, learnings for next year. Helps you plan the next event.

Events are priced by complexity, not just hours. Single-vehicle shorter events bill hourly; full-day conferences bill at day rate; multi-vehicle galas are quoted as event packages. Final pricing always provided in writing before booking.

A good event feels effortless to guests because the planning isn't. Most events follow this 6–8 week cadence; larger events (galas, conferences) start 3+ months out. The coordinator is involved from the start.

How far in advance should I book event transportation?

For events under 50 guests, 4–6 weeks is usually fine. For galas, conferences, or any event needing 3+ vehicles, we recommend 3+ months. Holiday season (mid-November through early January) books fastest — reserve by August/September.

Do you provide an event coordinator?

Yes — every event with multi-vehicle coordination or 50+ guests is assigned a dedicated event coordinator from booking through execution. They handle manifest management, vehicle dispatch on the day, and serve as a single point of contact for your event team. For smaller single-vehicle events, your driver is your contact.

Can you handle late-night returns?

Yes. Late-night safe return runs are one of our most-requested event services — common for galas, holiday parties, and fundraisers. We typically schedule continuous loops from event end through midnight or 1 AM. Latest scheduled return run: 2 AM.

Do you work with my venue?

Almost certainly. We've operated at most major Seattle, Bellevue, and Snohomish County event venues — hotels, convention centers, museums, country clubs, breweries, and wineries. We coordinate with venue parking, valet, and loading dock teams as needed. If your venue is new to us, we do a free site survey at least 2 weeks before your event.

How is event transportation priced?

Three options: hourly (best for events under 6 hours), day rate (best for full-day conferences or events), or event package (custom-quoted for multi-vehicle, multi-day, or complex coordination). Final pricing always quoted in writing before booking. 30% deposit to lock the date; balance billed within 5 days post-event.

Can you coordinate VIP arrivals separately from general guests?

Yes. Two-tier arrival programs are common — black-car sedans for VIPs, board members, or keynote speakers; mini buses or coach buses for general guests. Different vehicles, different arrival timing, same event coordinator managing both streams. VIPs typically arrive 30 minutes ahead for green room or 5 minutes ahead for ceremony start.
